How do you resolve customer complaints?
To resolve a customer complaint, listen to the full story, thank them and apologize for the experience, investigate the facts, offer a fair and specific fix, confirm the customer is satisfied, and then fix the root cause so it doesn't happen again. Log every complaint so patterns become visible to product and operations.
Six steps
- Listen without interrupting.
- Thank and apologize: “Thanks for telling us. I’m sorry this happened.”
- Investigate account history, logs and policies.
- Offer a fix: replacement, refund, credit or a clear plan with dates.
- Confirm the customer is satisfied and follow up.
- Fix the cause: tag the complaint and share trends monthly.
